The i-Government Office System called iSENATOR is a meeting support system. It enables participants in public administration and/or executive meetings to have all the latest documents (private and public) and information concerning agenda items at their fingertips so that they can effectively represent themselves. i-Government Office System allows you to delegate and integrate meeting preparation tasks. The system provides a range of additional participant and chair person functionality such as the ability to manage the meeting flow, electronically comment on documents, vote on agenda items, automatically generate meeting minutes based on actual events as well as chat tools for real-time communication with other participants and back-office work-teams.
Every piece of information is important for being adequately prepared for a meeting. This subsystem enables you to record and edit the data and items on the agenda of a given meeting. Furthermore, you can send e-mail messages to notify the participants about submitters, items on the agenda, recorded preliminaries, uploaded documents and the changes of all the above.
The person chairing the meeting can open the session, shift and postpone individual items on the agenda, give the floor to participants asking for permission to speak, initiate voting on a given subject and close the session.
Those participating members of parliament can follow the measures taken by the person chairing the session via a web interface or iPad. They can see the documents belonging to the items on the agenda, demand the floor and communicate with one another without disturbing the meeting via these tools.
With the help of the integrated document handling system each authorized congressman can view in digital format the documents belonging to the sessions. The content of a given document can be easily searched for, and memos as well as public, group level or private comments can be attached to given pages. Later on these items can provide useful information during the work. The accessibility of documents can be limited among the participants at group level.
The instant messaging system may greatly facilitate the decision-making. During the session, the participants can continuously communicate with their associates present at the meeting and with their professional team working in the background alike. This way advice can be received from external parliamentarians on the one hand and effective work can be performed in the background on the other hand.
The efficiency of the meeting can be considerably improved by the support of immediate decision-making. With the help of a voting system integrated for this purpose immediate answers can be received to some important questions.
